Delegation Brief Template

A delegation brief is a one-page handover document that makes the outcome, authority and review point explicit before any work is handed over. It prevents the most common delegation failure: handing over a task without defining what a good result looks like.

What it includes: The recurring problem being solved, the outcome (what done looks like), any hard constraints (budget, deadline, tone), the decisions the person owns outright, the decisions that need a heads-up, and a fixed review date.

Common mistakes: Writing instructions instead of outcomes ("do this, then this" rather than "done looks like this"). Writing an outcome so broad it specifies nothing. Skipping the authority section so the person does not know what they can decide alone.

One-to-One Meeting Template

A one-to-one meeting template creates a predictable, short agenda that makes regular conversations possible without them feeling like a performance review or a status report.

What it includes: Their topics (what they want to discuss), blockers, progress against agreed outcomes, feedback in both directions, and agreed actions with owners and deadlines.

How to customise it: Use the One-to-One Builder to set up a recurring agenda for each direct report.

Common mistakes: Turning it into a status report. Cancelling it when the week is busy (that is exactly when it matters most). Saving feedback for the annual review instead of the next one-to-one.

Employee Expense Policy Template (UK)

An expense policy is a one-page document that tells employees what they can claim, what evidence is required, how to submit a claim and when they will be paid. It prevents the most common expense failure: every claim being negotiated individually.

What it includes: Claimable categories (travel, accommodation, meals, equipment), evidence requirements (receipts, mileage logs), approval route, submission deadline and payment timing. For mileage, the HMRC Approved Mileage Allowance Payment rates for UK tax year 2026/27 are 55.00000000000001p/mile for the first 10,000 miles and 25p/mile thereafter for cars.

Correction — 26 August 2026: the 2026/27 car and van rate changed from 45p to 55p per mile for the first 10,000 business miles, retrospectively from 6 April 2026. The rate above 10,000 miles remains 25p. See HMRC’s August 2026 Employer Bulletin.

Common mistakes: No written policy at all. A policy that exists but nobody has read. Mileage rates that differ from HMRC's approved rates (which creates a tax liability). No process for what happens when someone submits late.
