Founder Absence Plan Template

What this template is for

Use this coverage plan before the founder is unavailable. It makes decision ownership, customer communication, payment controls and emergency escalation explicit so the team does not wait or improvise.

How to use this template

  1. Complete the plan with the people who will cover decisions and test it during a short absence first.
  2. Separate operational cover from financial authority; do not solve a coverage gap by sharing credentials or bypassing approvals.
  3. Share the final plan with relevant customers and team members, then review the decisions made when the founder returns.

Replace the bracketed prompts with facts about your own team. Keep the completed version in the shared place where the relevant people can use it.

1. Dates, availability and boundaries

State when the founder is unavailable, any limited contact window and the conditions that justify interrupting the absence.

2. Decision owners and limits

Assign a named decision owner for recurring operational, people and commercial issues, with limits that match their normal authority.

Name the first escalation contact, a backup and the short review that turns the absence into a useful test of the operating system.

This example shows the level of specificity to aim for. Replace it with your own names, limits, dates and evidence rather than copying the facts.

Only contact for: Security incident, payment failure threatening payroll or a customer safety issue.

Backup: Finance lead for payment issues.
Return review: 28 September; review escalations, delayed decisions and access gaps with the leadership team.

Before you share it

Run through a realistic customer request, supplier payment and people issue before the absence. Update any gap that currently relies on the founder being reachable.
