Team Money

Team Spending Controls Builder

Builds your spending policy first — roles, thresholds, approval routes, evidence rules and leaver controls — and only then discusses mechanisms.

Takes about 6 minutes. Your answers stay in your browser, and no email address is required to see your result.

Policy first, product second. This tool will not show you cards or accounts until the policy section is complete. Mechanisms cannot fix an undefined rule.

1. Who is spending?

Use a role, e.g. 'Operations lead'.

The person who actually moves the money. For separation of duties this should not be the same role as the approver.

2. Thresholds

Below this, a team member may buy without asking anyone.

£

Between the two figures, an approver must agree first. Above it, only you decide.

£
3. Evidence and recurring spend

Every subscription needs one named owner and a renewal review date.

Assumptions and limitations
  • The output is a draft policy for you to review and adapt, not a legally checked document.
  • The tool checks one control explicitly: whoever approves a payment should not also be able to release it alone.
  • It cannot assess your fraud risk or your insurance requirements.
  • Product information is withheld until the policy section is complete. Policy first, product second.

Methodology and calculation

This tool is designed with transparency in mind. The results are calculated based on the following logic:

  • You define roles, a no-approval threshold, an approval band and a founder-only band.
  • The tool checks for separation of duties: whoever approves a payment should not also release it alone.
  • Evidence rules and leaver actions are generated into a printable draft policy.
  • Product information is withheld until the policy section is complete. Policy first, product second.

Limitations and scope

  • The output is a draft policy for you to review and adapt, not a legally checked document.
  • It cannot assess your fraud risk or your insurance requirements.
